We are looking for a Project Administrator to join our dynamic Project Management Team to support the Project Managers in the delivery of their schemes.The role is based at our Chester Office (Sealand Rd area).
Responsibilities will include:
- Documentation Management: Maintaining project documentation, including meeting minutes, reports, and project plans.
- Scheduling and Coordination: Organising meetings, tracking deadlines, and ensuring that all project activities are aligned with the overall schedule.
- Budget Management: Assisting with budget tracking, expense reports, and ensuring that projects stay within budget.
- Communication: Facilitating communication within the project team and with external stakeholders, including preparing presentations and reports.
- Logistics and Procurement: Arranging travel, accommodations, and other logistics related to project activities, and assisting with procurement and supply chain management.
- Reporting and Analysis: Preparing project status reports, tracking key performance indicators (KPIs), and analyzing project data.
- Process Improvement: Identifying and implementing process improvements to enhance project efficiency and effectiveness.
- Team Support: Providing administrative support to the project team, including managing email, scheduling, and handling general office tasks.
- Compliance: Ensuring that projects comply with relevant policies, procedures, and regulatory requirements.

- Excellent communication skills: Effective communication is crucial for coordinating with project managers, team members, and stakeholders.
- Time management: Project Administrators must be able to prioritise tasks, manage deadlines, and ensure projects stay on schedule.
- Attention to detail: Accuracy in documentation and reporting is essential, requiring meticulous attention to detail.

As an example, the following is the range of things our Project Managers deal with that a Project Administrator would be expected to support:
Project Planning & Delivery
- Manage all phases of scaffolding projects, from pre-start planning through to completion and handover.
- Prepare and review method statements, risk assessments, and lifting plans.
- Coordinate scaffolding design, approvals, and compliance with site requirements.
- Develop and manage project programmes, ensuring efficient sequencing and timely execution.
_ Team & Resource Management_
- Lead site teams, including supervisors and operatives, to ensure safe and effective work practices.
- Allocate labour, plant, and materials in coordination with operations and procurement teams.
- Monitor team performance and ensure training and certifications (CISRS, PASMA, etc.) are up to date.
_ Health, Safety & Compliance_
- Promote and enforce a strong health & safety culture across all projects.
- Conduct regular site inspections, audits, and toolbox talks.
- Ensure full compliance with relevant regulations (e.g., TG20:21, SG4, CDM Regulations, Work at Height Regulations).
_ Client & Stakeholder Engagement_
- Act as the key point of contact for clients, contractors, and consultants.
- Attend site meetings and provide progress updates, addressing queries and concerns.
- Maintain strong working relationships to support repeat business and future tenders.
_ Commercial & Financial Oversight_
- Monitor project costs, budgets, and variations in collaboration with commercial teams.
- Ensure timely completion of valuations, progress reports, and final accounts.
- Support tender submissions and pricing with input on scope, methodology, and resourcing.

Pay: £27,500.00-£30,000.00 per year
